Job Description

The Natural Resources Defense Council (NRDC) is a non-profit environmental advocacy organization. We use law, science, and the support of 3.1 million members and online activists to protect the planet's wildlife and wild places and to ensure the rights of all people to clean air, clean water, and healthy communities. NRDC was founded in 1970 and our staff helped write some of America's bedrock environmental laws, including the Clean Water Act, and many of the implementing regulations. Today, our staff of more than 700 lawyers, scientists, economists, policy advocates, communications experts, and others work across the United States and internationally from our offices in New York; Washington, D.C.; Chicago; Santa Monica; San Francisco; Bozeman, Montana; and Beijing.  

Position Summary: 

NRDC is seeking a Workplace Strategy Specialist to join our Workplace Strategy department in our New York Office. The Specialist will provide high-level administrative support to the Managing Director, Real Estate and Workplace Strategy Deputy Director, Workplace Strategy, and assist NY Workplace Strategy team as needed. The ideal candidate is a self-starter and quick learner who has excellent time management and project coordination skills and is seeking a challenging role. They must be able to efficiently handle administrative tasks such as: coordinating and booking travel, processing invoice and expenses, scheduling and coordinating meetings; and proofreading and preparing materials for meetings and other events. Excellent administrative and organizational skills, sound judgment, strong interpersonal skills, and an ability to support consensus-based decisions with a flexible, innovative approach to resolving issues are required. This position reports to the Managing Director of Real Estate & Workplace Strategy and the Deputy Director of Workplace Strategy.  

Responsibilities

  • Provide high level administrative support to Managing Director, Real Estate & Workplace Strategy, Deputy Director, Workplace Strategy, and potentially the Senior Project Manager 
  • Provide complex calendar management and scheduling internal and external meetings with staff and external partners. Calendar management includes coordinating travel, meeting scheduling, reserving conference rooms, ordering catering, and setting up videoconferencing as needed  
  • Provide substantial support to maintain and track budget and contracts including processing invoices and expenses and tracking contracts through NRDC’s internal approval processes  
  • Assist the team in drafting, editing, formatting, and proofreading memos, correspondence, presentations, and all other materials  
  • Process invoices and other budget management activities 
  • Provide support to the Future of Work initiative  
  • Provide general administrative support to the Workplace Strategy team and ad hoc projects as needed   
  • Assist with organizing office wide events, including but not limited to holiday party, picnic, and new hire orientations  
  • Provide Reception support when needed  
  • Willingness to take on additional responsibilities as time allows  
  • Maintain NRDC’s commitment to greener business operations  

Qualifications

  • Bachelor’s degree or equivalent experience preferred and interest in environmental advocacy is a plus  
  • Minimum of 5-7 years of administrative experience, with minimum of 3 years supporting a senior leadership role (Operations administration a plus)   
  • Demonstrated professional communication skills, including both oral and written communication, proofreading and editing, and notetaking  
  • Proactive and detail oriented with a demonstrated ability to problem-solve, manage and organize multiple priorities, and work independently with appropriate decision-making within a fast-paced environment  
  • Excellent interpersonal, customer service and organizational skills are required; timely completion and attention to detail are expected as is the ability to make decisions and access situations with the “big picture” in mind  
  • Experience collaborating with multiple teams, priorities and projects simultaneously  
  • Experience with managing projects a plus 
  • Ability to maintain composure under stress and to adhere to high standards of confidentiality  
  • Keen interest in nature and the environment a plus  
  • Enthusiastic, warm attitude with a strong interest in assisting people  
  • Must like to work collaboratively but be able to execute hands on and independently  
  • Must be able to assert functional leadership and influence and to communicate ideas, proposals and decisions in a professional manner  
  • Internet savvy plus a proven mastery of Office applications including Word, PowerPoint, Excel, Visio and Outlook; AgilQuest Forum, WorkPlace, and Concur accounting software knowledge helpful, but not required  
  • Willingness to be available for occasional overtime work

Salary is based on a nonprofit scale and commensurate with skills and experience. The salary ranges from $55,000 - $65,000.  Internal equity considerations and the average salary of the peer range will be reviewed before making a final offer.
