Administrative Services oversees multiple business hubs and shared service organizations throughout the University. Located within the Finance and Administration portfolio, the objective of the division is to provide efficient, strategic and specialized administrative services to support the missions of various departments, schools and colleges at the University of Oregon. Administrative Services focuses on department-specific budget, finance, payroll, human resources, and procure-to-pay functions as well as specialized physical security and utility technologies. Administrative Services is a metric-driven, people-first administrative team that strives to create efficient, effective and sustainable administrative support structures across campus.
As one of the shared services hubs in Administrative Services, the Provost's Administrative Services Team (PAST) provides business and administrative services for Partner Units in the Office of the Provost (OtP) portfolio. PAST partner units include the Division of Global Engagement; Division of Graduate Studies; Jordan Schnitzer Museum of Art; Museum of Natural and Cultural History; Undergraduate Education and Student Success; and University Libraries. The units supported by PAST constitute a large business enterprise consisting of more than 1,500 employees and total operating expenditures of more than $73.5 million, all funds. PAST works with multiple employee category types including three different unions, student employees, and officers of administration.
Position Summary
The Human Resources Manager will provide essential human resources management within the PAST shared services team and PAST partner units. This position will support and facilitate effective communication, excellent standards of workplace conduct, and interpersonal problem-solving with high levels of confidentiality, sensitivity, and cultural awareness for approximately 1500 employees. This position is expected to use diversity, equity, inclusion, and accessibility frameworks in every part of their responsibilities.
Within the PAST portfolio, the HR Manager's responsibilities will include overseeing and managing onboarding and offboarding activities, coordinating the performance evaluation process, as well as maintaining and tracking the student hire process. They will manage projects for PAST HR strategic initiatives and responsibilities, plan and execute administrative processes, and recommend and implement process improvements. This position will support recruitment and the hiring process, helping to ensure diverse and robust candidate pools.

Position Summary
The Human Resources Manager will provide essential human resources management within the PAST shared services team and PAST partner units. This position will support and facilitate effective communication, excellent standards of workplace conduct, and interpersonal problem-solving with high levels of confidentiality, sensitivity, and cultural awareness for approximately 1500 employees. This position is expected to use diversity, equity, inclusion, and accessibility frameworks in every part of their responsibilities.
Within the PAST portfolio, the HR Manager's responsibilities will include overseeing and managing onboarding and offboarding activities, coordinating the performance evaluation process, as well as maintaining and tracking the student hire process. They will manage projects for PAST HR strategic initiatives and responsibilities, plan and execute administrative processes, and recommend and implement process improvements. 40% Digital Design Direction
• Provide overall creative leadership and digital design strategy for the college through the translation of the brand’s guidelines for digital platforms. • Assess the college’s online brand identity and develop strategic and creative digital concepts and materials to advance the college’s strategic goals. • Develop, implement, and evaluate short-and-long-term goals, objectives, and projects of digital visual marketing and communications in the college. • Partner with Senior Director of Marketing (SDM), Assistant Director of Marketing (ADM), Digital Communications Specialist (DCS), and Web Development Manager (WDM) to guide digital design needs and provide digital design assets to projects initiated by the marketing and communications team in the production of digital projects.

40% Digital Design Direction
• Provide overall creative leadership and digital design strategy for the college through the translation of the brand’s guidelines for digital platforms. • Assess the college’s online brand identity and develop strategic and creative digital concepts and materials to advance the college’s strategic goals. • Develop, implement, and evaluate short-and-long-term goals, objectives, and projects of digital visual marketing and communications in the college. • Partner with Senior Director of Marketing (SDM), Assistant Director of Marketing (ADM), Digital Communications Specialist (DCS), and Web Development Manager (WDM) to guide digital design needs and provide digital design assets to projects initiated by the marketing and communications team in the production of digital projects.
• Develop wireframes and collaborate with the SDM and WDM in the development of the UX. • Advance the UX/UI on the college’s web development. Oversee the design of the user flow on key college landing pages, oversee digital design for the mobile experience, and provide sketches to the WDM. • Advise the SDM and WDM on front-end digital design • Provide design assets for the college’s social media channels

• Responsible for design, production, and output for all digital communications, and design and production of print communications as needed. • Conceptualize and design a wide variety of online and print publications including websites, emails, social media, video, motion graphics, brochures, advertisements, and more. • Work collaboratively with internal and university partners to manage the production of projects, develop new ideas, and ensure high-quality outcomes. • As needed, prepare print materials specifications for vendors, obtaining bids; purchasing, and maintaining contact with producers to ensure adherence to timelines and specifications. • Following the current college visual identity and adhering to the university’s brand guidelines, and the college’s sub-brand guide, create graphic images including illustrations, information graphics, and icons. • Maintain the college’s online portfolio and digital style guide.

• Provide digital design best practices and leadership to college’s external relations team and additional stakeholder units within the college, including monitoring quality; providing feedback; answering questions. • Guide student workers with digital motion graphics for social media and support student workers’ learning by teaching graphic design best practices and digital marketing strategies • Coordinate and manage the work of vendors to successfully complete projects. • Assist with the hiring and monitoring of freelance photographers, illustrators, and print and web designers, as needed. 10% Technical Support and Professional Development

What You Will Need

Working Conditions / Work Schedule

Job Description The Coordinator, Capital Campaigns works internally across departments and externally with donors, vendors, patrons, and others to coordinate the administrative functions of the Kennedy Center’s historic $250m endowment campaign. This position is an essential partner to the Director of Capital Campaigns and Strategic Planning, the Manager of Campaign Operations, and the entire development team. Primary responsibilities include developing and editing materials; assisting with portfolio reviews; daily monitoring of development systems including Asana, Microsoft Teams and our fundraising database (Tessitura); and administrative tasks including meeting management, document preparation, budget tracking, and best practice/industry research. The Coordinator will also assist with donor outreach, campaign events, and prospect management, as well as supporting various development department related events. Key Responsibilities Manages administrative tasks including meeting management, document preparation ahead of internal and external meetings, updating and saving all files and documentation, and assisting with internal information sharing and training on campaign systems and processes. The coordinator will document notes and update all internal systems including Microsoft Teams and Asana. Assist the Director of Capital Campaigns and Strategic Planning, as well as the Manager, Campaign Operations with the development and implementation of campaign donor strategies including drafting campaign proposals, acknowledgement letters, staffing donor events, etc. Coordinate the fulfillment of campaign benefits in collaboration with frontline teams and Donor Services. Assist with the coordination of campaign related events and engagement activities. Other duties as assigned. Key Qualifications A Bachelor’s degree is required or equivalent work experience required Background in or knowledge of nonprofits, arts and culture institutions, and/or fundraising preferred. Minimum 2 years experience in project management and/or customer service. Excellent writing and copyediting skills. Must be self-motivated, highly organized, and able to strategize and plan ahead. Experience in database management, specifically with Tessitura, is a plus but not required. Microsoft Office Suite, including TEAMS, as well as the ability to learn and adapt to changing technology
